Creating Workspaces

Workspaces are the primary containers for your work in Cosmo. Each workspace groups related artifacts, tasks, AI memory, and configuration into a single place.

Create a Workspace

Through Chat (Recommended)

The easiest way to create a workspace is through natural conversation. When you mention a new initiative, client engagement, or workstream, Cosmo will create a workspace for you.

Example prompts:

• "Let's start a workspace for the ACME Corp proposal"
• "Create a new workspace called Q3 Marketing Campaign"
• "I need to track the website redesign — set up a workspace for it"
• "Create a team workspace for the client engagement" (shared with members)
• "Start a personal workspace for my notes" (private to you)

Smart Workspace Matching

Cosmo is designed to avoid duplicate workspaces. Before creating a new workspace, it will:

1. Check existing workspaces — Cosmo always reviews your current workspace list first
2. Match by name similarity — If you say "ACME website proposal" and you already have an "ACME Corp" workspace, Cosmo will use the existing one
3. Ask when ambiguous — If multiple workspaces could match, Cosmo will ask you to pick. For example: "I see you already have an 'ACME Corp' workspace — should I add this there, or create a separate workspace?"
4. Create only when needed — A new workspace is only created when there's clearly no existing match

This means you can speak naturally without worrying about creating duplicates. Just describe what you need and Cosmo will figure out where it belongs.

Desktop

Click the + icon next to a team name in the sidebar. An inline input appears at the bottom of that team's workspace list — type a name and press Enter (or click the checkmark) to create. If the team group is collapsed, it expands automatically. Press Escape to cancel without creating.

Managing Workspaces

Renaming a Workspace

From the sidebar — hover over a workspace row to reveal the ··· menu, then choose Rename. An inline input replaces the name: press Enter to save or Escape to cancel.

From a team canvas card — click ··· on any workspace row in the Hub's team view to get the same inline rename.

From the workspace header — double-click the workspace name at the top of the Hub dashboard to edit it inline.

You can also rename through chat:

• "Rename the ACME workspace to ACME Corp - Phase 2"

Deleting a Workspace

From the sidebar or team canvas card — open the ··· menu on the workspace row and choose Delete. A confirmation prompt appears inline; click Delete again to confirm or Cancel to abort. If you are currently viewing that workspace (or one of its artifacts), the Hub navigates back to the main tab view automatically.

You can also delete through chat:

• "Delete the old test workspace"
• Cosmo will respond: "Are you sure? This will also remove X tasks and Y artifacts."

Workspace Context

When you're chatting about a specific workspace, Cosmo automatically associates the conversation with that workspace. This means:

• New tasks created during the conversation are assigned to that workspace
• New artifacts are placed in that workspace
• The Hub shows that workspace's content

You can also explicitly set or clear workspace context:

• "Let's focus on the ACME workspace"
• "Switch to the marketing campaign workspace"
• "Clear the workspace context — I want to chat generally"

Visibility

Workspaces can be Personal (private to you) or Team (shared with team members). See Access Management for details on managing visibility and members.

Best Practices

1. Let Cosmo organize — Describe what you need and let the AI decide if a new workspace is warranted. Don't create empty workspaces upfront.

2. Use descriptive names — "ACME Corp - Website Redesign" is better than "Workspace 1". Good names help Cosmo match future requests to the right workspace.

3. One workspace per initiative — Keep workspaces focused. A client engagement, a product launch, and a hiring initiative should be separate workspaces.

4. Don't worry about duplicates — Cosmo checks existing workspaces before creating new ones. If a match exists, it will use it or ask.
